A: Click the "New Message" button in the Communications Hub. Select "Broadcast" as the recipient type, check the properties you want to include (or select all), compose your message, and click Send. The system will show you how many tenants will receive the message before you send it.
Q: Can I use templates for common messages?
A: Yes! When composing a new message, you can select from pre-built templates like Late Rent Notice, Lease Renewal, or Maintenance Notice. Templates include merge fields that automatically populate with tenant and property information. You can also create and save your own custom templates.
Q: How do tenants receive messages?
A: Tenants receive messages in their tenant portal inbox. They'll also get email notifications for new messages. Unread messages are highlighted and show a badge count. Tenants can filter messages by type (Announcement, Maintenance, Billing) and reply directly through the portal.
Q: Can I track if tenants have read my messages?
A: Yes, the Communications Hub shows read/unread status for each message. In the message history, you can see when messages were sent and which tenants have viewed them. You'll also receive notifications when tenants reply to your messages.
Q: Can I send messages to property owners?
A: Yes, the Communications Hub supports messaging to both tenants and property owners. Owners have their own message thread where you can send contribution requests, distribution notifications, financial statements, and general updates. Each owner's communication history is maintained separately.
Q: How long are messages stored?
A: All messages are stored indefinitely in the communication history. You can search and access any past message at any time. This includes the full message content, attachments, delivery timestamps, and reply threads. You can also export communication logs for legal or compliance purposes.
