Q: How do I share a document with a tenant?
A: Go to the tenant's profile in Residents & Leases, scroll to the Documents section, and click "Share New Document". Select the document type, upload your file via drag-and-drop or file browser, configure visibility settings, and click "Share Document". The tenant will see the document in their portal if visibility is enabled.
Q: What file types can I upload?
A: MyRentalSpot accepts PDF, DOC, DOCX, JPG, PNG, HEIC, and WEBP files. The maximum file size is 10MB per document. For larger files, we recommend compressing them or splitting into multiple documents.
Q: How do I control which documents tenants can see?
A: When sharing a document, use the "Show this document to tenant" toggle. When enabled (green), the tenant can see and access the document in their portal. When disabled, the document is marked "Private" and only you can see it. You can change visibility at any time from the document actions.
Q: How do I request a tenant's signature on a document?
A: When sharing a document, enable the "Require tenant signature" toggle. The tenant will be prompted to electronically sign the document when they view it. You'll receive a notification when they sign, and the document will show a "Signed" badge in your document list.
Q: Where is the Photo Log located?
A: The Photo Log is accessible from the left sidebar under "My Properties". Click on "Photo Log" to view and manage photos for all your properties. You can filter by property, upload new photos, and organize them by category (Exterior, Units, Common Areas, etc.).
Q: Can I password protect sensitive documents?
A: Yes! When sharing a document, enter a password in the "Password Protection" field. The tenant will need to enter this password to open and view the document. This is useful for sensitive financial documents or personal information. Share the password with the tenant through a separate secure channel.
